Overview
This Privacy Policy describes how Bots-AI ("we," "us," or "our") handles personal information when you visit our website, submit a contact or lead form, or engage us for professional services (including bot, automation, and retrieval projects). We operate under one legal entity that does business as Bots-AI and, for our retrieval product and related offerings, as RetrievIQ (DBA). Our principal business address is in Roseville, California (see the Contact section on our homepage).
Information we collect
- Website & forms. Name, work email, company, and anything you type into our lead or contact forms; basic technical data such as IP address, browser type, and pages viewed (through analytics and logs, where enabled).
- Sales & delivery. Business contact details, meeting notes, procurement information, and communications you send us during scoping and projects.
- Customer content. When we build systems for you, we process files, APIs, and configuration you choose to connect — often including information about your end users. You decide what to include; we process it only to deliver the services you request, as described in your agreement and our data handling summary.
How we use information
We use personal information to respond to inquiries, operate and improve our website, negotiate and perform contracts, provide support, meet legal obligations, and protect our rights and systems. We do not sell personal information. We do not use your knowledge-base or production bot content to train public AI models unless a separate, explicit written agreement says otherwise.
Sharing and subprocessors
We share information with service providers that help us run our business (for example hosting, email, CRM, calendar, and collaboration tools) subject to confidentiality and data-protection terms. We may disclose information if required by law or to protect safety and security. A current list of material subprocessors for services is available on request for customers under NDA or as part of onboarding.
Retention
We keep website and marketing records long enough to follow up with prospects and meet legal requirements. Project artifacts and logs are retained according to your statement of work or master services agreement and operational needs. You may request deletion of contact data where no overriding legal obligation applies.
Security
We implement administrative, technical, and organizational measures appropriate to the risk — including access controls, encryption in transit for data we control in standard configurations, and vendor diligence. No method of transmission or storage is perfectly secure; we encourage layered controls on your side as well.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or export certain personal information, or to object to or restrict certain processing. To exercise these rights, contact us at the email in the footer of this page. We will verify requests as permitted by law. If you are in the EEA or UK, you may also lodge a complaint with your supervisory authority.
International transfers
If we transfer personal information across borders, we use appropriate safeguards (such as standard contractual clauses) where required.
Children
Our website and B2B services are not directed to children under 16, and we do not knowingly collect their personal information.
Changes
We may update this policy from time to time. We will post the revised version here and adjust the "Last updated" date. Material changes affecting active customers will be communicated as required by law or contract.
